1. Who we are
Orion Acuity is the name under which ORC Consulting LLC, a Nevada limited liability company, operates this website and its consulting business. In this notice, “Orion Acuity”, “we”, “us” and “our” mean that company. We decide how the personal information described here is used.

2. What this notice covers
We provide consulting services to businesses, including sole proprietors acting for their business. This notice applies to personal information about people who visit this website, contact us through the inquiry form or by email, or work with us on behalf of a current or prospective client.
This notice explains our practices. It does not ask you to agree to anything, and your choices under it do not depend on accepting our Website Terms. A signed engagement agreement may add confidentiality or data-handling requirements for that engagement. It does not reduce rights that applicable law gives you.
3. Information we collect
Information you give us. Through the inquiry form: your name, work email, company, the area you are interested in and a description of your inquiry, plus anything you choose to add about your role, the market you are considering, your preferred language, your timing and who introduced you. If you name the person who introduced you, we record that name. When you email us or work with us: the content of your messages and attachments, the contact details in your signature, and the information needed to agree, deliver and invoice work.
Records of your submission. When you send the form, we record a reference number, the form language, the time the notification reached our mailbox, the version of the Website Terms you accepted and the version of this notice linked from the form.
What not to send. Please do not include government identification numbers, financial account details, health information, passwords or confidential documents in a first inquiry. If confidential material is needed later, we will agree with you how to share it.
Information processed when you visit. Our hosting and security providers process technical information such as IP address, browser and device type, and the time of each request, to deliver pages and protect the website against abuse. The inquiry form uses Cloudflare Turnstile to check submissions for abuse; Cloudflare processes technical signals from your browser for that purpose.
4. How we use information
We use personal information to:
- assess and respond to your inquiry, and decide whether and how we can help;
- prepare, agree and carry out work you ask us to do, including coordinating work we have agreed with you;
- keep records of contacts, follow-up and engagements, including invoices and payment records;
- keep the website, mailboxes and records secure, prevent spam and abuse, and fix problems; and
- meet legal obligations and establish, exercise or defend legal claims.
Inquiries sent through the website reach our business mailbox by email and are copied into a private contact register (a Google Sheets spreadsheet). An automated process uses each submission’s reference number to avoid recording the same inquiry twice and reminds us to follow up. The automation does not score or rank people or decide whether we accept an engagement. We review inquiries and make those decisions ourselves.
We use AI-assisted tools, including assistants connected to our email or files, to help draft, translate and organize work. Our policy is to use only the information needed for the task, remove sensitive details where possible or obtain separate permission where needed, and have a person review the output. We do not use these tools to make solely automated decisions about whether to accept an engagement. We review the relevant product terms and account settings before using a tool with client information; this notice does not claim that all tools have identical retention or model-training settings.
Submitting an inquiry does not subscribe you to marketing emails. We do not currently send marketing emails. If we offer updates in future, signing up will be a separate, optional choice, and every message will include a way to unsubscribe.
5. When we share information
Service providers that process information for us:
| Provider | Purpose |
|---|---|
| OpenAI Sites / Cloudflare | Delivering and protecting the website |
| Resend | Delivering inquiry form submissions to our mailbox by email |
| Google (Google Workspace, Gmail, Google Sheets, Apps Script) | Business email, the private contact register and internal reminders |
| OpenAI and Anthropic (Codex / Claude) | Drafting, translation and organization support |
These providers act under their own terms and privacy policies. We limit access to our accounts.
Collaborators. Some projects may involve independent collaborators in the United States or China, for example for research, translation, channel testing or local coordination. We share information with a collaborator only after the client has agreed to that sharing for the specific work, and we share only what the work needs. Before sharing client information, we require written commitments covering confidentiality, limited use, and return or deletion of the information.
Professional advisers, such as lawyers, accountants or insurers, when needed to run our business.
Legal and safety reasons: when required by law or legal process, or when reasonably necessary to protect rights, safety or property, or to investigate fraud or misuse.
Business changes: if our business is reorganized, merged or sold, information may pass to the successor, which must handle it consistently with this notice.
We do not sell personal information, and we do not share it for targeted advertising.
6. International processing
We operate from Nevada in the United States. If you contact us from another country, your information is transferred to and processed in the United States. Our service providers may also process information in other countries. With a client’s agreement, information may be shared with collaborators in China or the United States for specific work. Privacy laws in these places may differ from those where you live.
7. How long we keep information
| Information | How long we keep it |
|---|---|
| Inquiries that do not lead to an engagement | Deleted or anonymized no later than 12 months after our last contact with you. “Last contact” means the later of the date of your inquiry and the last time you communicated with us. Our own follow-up messages, automatic replies, automated reminders, record updates and requests you make under “Your requests” do not extend this period. |
| Engagement records: agreements, statements of work, approved changes, deliverables, invoices, payment records and key correspondence | 7 years after the end of the calendar year in which the engagement ends or the last payment is made or falls due, whichever is later |
| Working files and materials provided by a client | Returned or deleted within 90 days after final acceptance or the end of the engagement, whichever is later, unless the engagement agreement says otherwise or the client asks us in writing to keep them for further agreed work. Copies that form part of the engagement record, such as attachments to key correspondence, are kept with that record |
| Requests and preferences, such as a request not to be contacted or permission to share with a collaborator | As long as we keep the related information. A minimal do-not-contact record is kept for as long as needed to honor it |
| Website security records | Short-lived abuse counters use a keyed hash rather than your raw IP address; expired counters are removed on subsequent requests after 48 hours. Other security records are kept by our hosting and security providers under their retention settings |
The seven-year period is an operating default, not a universal legal retention period. Before deletion, we check whether tax filing dates, applicable law, an engagement agreement, insurance requirements or an actual or reasonably expected dispute, claim or investigation require specific records to be kept longer. Any extended retention is limited to the records and purpose concerned. Deleted information can remain for a limited time in providers’ deleted-items folders and backup systems before their processes remove it permanently.
8. Security
We use measures suited to a small business: inquiry and client records are kept in accounts controlled by the business owner, the contact register is private, and we limit who can see client information. No method of sending or storing information is completely secure, so please follow the guidance above on what not to send.
9. Your requests
You may ask us to tell you what personal information we hold about you, correct it, delete it, or stop contacting you. Email inquiries@orionacuity.com, ideally from the address you used with us. We will ask only for the information needed to confirm that the request comes from you or someone you have authorized. We will respond within a reasonable time and tell you if we need more time or cannot fully comply, for example because we must keep certain records for legal reasons. If the law where you live gives you additional rights, we will honor them as that law requires.
Nevada residents: we do not sell covered information as defined in Nevada law. You may still send a request directing us not to sell your covered information to inquiries@orionacuity.com.
10. Cross-site tracking and browser signals
We do not use information from this website for cross-site targeted advertising. Our website does not respond differently to Do Not Track or Global Privacy Control signals; the practices and choices described in this notice apply regardless of those signals.
11. Children
This website and our services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16.
12. Changes to this notice
We may update this notice when our practices or the law change. Each version shows its effective date and version number. If a change materially affects how we use information we already hold about you, we will take reasonable steps to tell you, such as by email. Earlier versions are available on request.
13. Languages and contact
This notice is available in English and Chinese. Both versions describe the same practices; if you notice a difference, please tell us and we will correct it.
